Immediately after Booking
  • Communicate to Horsager Ministries all information needed to form a contract
  • Read Contract, Stage Requirements and Timeline thoroughly upon receipt
  • Sign and return both copies of the contract with 1st deposit check and directions to event location
  • Secure location facilities and date
  • Confirm all sound, lights, and stage Requirements are fulfilled (see Stage Requirements sheet)
One month prior
  • Form a prayer team
  • Form a separate team of counselors if needed.
  • Give Press Release to the local papers to run week of event
  • Start to run Radio and TV spots (When Relevant)
  • Put up posters (When Revelant)
  • Make any other promotional announcements / invitations / church bulletin pages
    • TIP The more personal an invitation is the more likely you will get people there
  • Line up key helpers / technicians to be available night of event
    • Sound person
    • Lights person
    • Sales Helper
    • Greeters/ Stage bouncers
    • Counselors
  • Get comment / response cards printed (if needed for an invitation)
One week prior
  • Radio Interviews
  • Confirm location availability for set up times
  • Confirm times for all helpers / technicians to arrive
  • Confirm that all publicity is done and running
Day of event
  • Arrive early and confirm all requirements are fulfilled (people, equipment, promo table, etc.)
  • Think about providing food for those who might be working over meal times
  • Make sure clear signs are posted for your guests to know where to go and when
    • Where should they be while they wait for the theater doors to open?
  • Signs at entrance AND auditorium or theater doors
